When setting up an integration in onday.com, selecting a board is a crucial step. This guide explains the purpose of board selection and how to complete the setup process effectively.

What is a Board in monday.com?

In monday.com, a board is a workspace where you organize, manage, and track specific projects, tasks, or workflows. Each board can represent a different team, department, or project, and it serves as the foundation for all data within your monday.com account.

Why Do You Need to Select a Board for Integration?

When you integrate a third-party service or application with monday.com, the integration needs to know where (which board) to send or retrieve data.

Here’s why board selection is important:

  1. Data Flow: The selected board becomes the destination for incoming data or the source of outgoing data during the integration.

  2. Automation Setup: Some integrations create or update items (tasks) on specific boards based on triggers (e.g., new email, form submission, etc.).

  3. Organization: It ensures that the right data is routed to the appropriate board, maintaining clarity and order in your workflows.

Step-by-Step Guide 📋

1. Navigate to the Integration Settings

  • Open the integration panel in your monday.com workspace.

  • Locate the app WhatsApp by Whatcrm in the left-hand sidebar.

  • Click on the settings gear to access the configuration options.

2. Locate the Board Selection Dropdown

  • In the settings menu, find the “Board” field.

  • This dropdown displays all the available boards in your workspace.

3. Choose the Desired Board

  • Select the specific board where you want all new messages and data to appear.

  • For example, choose “Board By Whatcrm” to direct messages to a pre-configured board.

How the Integration Works with Boards 🧩

Once you’ve selected a board:

  1. Message Handling:

    • All new WhatsApp messages will be directed to the selected board.

    • If the sender’s contact already exists in the board, the integration will add the message to the existing item.

    • If no matching item is found, a new item will be created with:

      • The sender’s phone number.

      • A tag (indicating the integration source).

  2. Default Board Logic:

    • If the chosen board is not found or deleted, the system will attempt to send data to the default Whatcrm board.

    • If no default board exists, the item will not be created.

  3. Working Across Boards:

    • The integration only searches the selected board for existing contacts.

    • Even if a contact exists in another board, the system will not link to it. This ensures clarity and avoids duplication.

Why the Integration Focuses on One Board 🤔

  1. Performance Optimization:

    • Searching across multiple boards in large workspaces can be resource-intensive and cause delays.

  2. Technical Limitations:

    • monday.com does not allow searching across all boards simultaneously. The system can only search for existing items within a single, selected board.

  3. Efficiency and Clarity:

    • By limiting the integration to a single board, the system ensures faster delivery and avoids confusion from duplications in unrelated boards.
